Description

The transport arrangements (done by DCAS) are as follows:

Each school (maybe 2 schools close to each other) is provided with a small bus.

Except for Metro (WP) = Metro goes with one bus from a central departure point.

DCAS will send the name of the  bus company, bus driver and contact number to me, I must forward it to all the schools.

Step 1: The school team manager must contact the company asap and arrange your pick up time (at your school only - not single pick up points for players/managers).

Step 2: VERY IMPORTANT: Please confirm to this email address that you did arrange a pick up time and please indicate the time - we need the records for follow up if necessary.

Please plan your pick up time asap and you can forward that to the parents so long. Please note your time of arrival stated below, also take into account road works, stops along the way AND packing time of the bus. Eg if you want depart at 10:00 the players and the bus must report at 9:30.

Arrival times:

Metro: (go directly to playing venue: Diazville High School): must arrive by 9:00 on Saturday 6 September.

West Coast Schools: (go directly to playing venue: Diazville High School): must arrive by 12:00 on Saturday 6 September.

Winelands, Overberg, Eden schools: (go to Weskus School - accommodation): must arrive between 16:00 - 17:00 on Friday 5 September (book in from 16:00, Supper = 17:00), can also book in after supper until 18:30.
 
Exco members traveling with DCAS transport pick up points: (school must please confirm pick up time with the exco members)

West Coast & Metro exco = own transport = Friday

hostels = bring own bedding.

All players MUST notate. Please bring own pens/pencils.

Please bring chess clocks as indicated on online entry form.

Players in hostels must bring own bedding and own refreshments for traveling.

All players must wear their school uniform/tracksuit during all rounds and prize giving = no civvies/no regional colours.

All school team managers must wear something with the schools logo/name where possible = no regional colours.

Please take note of the attached code of conduct - please give copies to all your players

Please take note of the managers notes (some of you may have received it already) on the invitation document.

 


Metro (WP) and West Coast will depart on Saturday morning and will sleep over only on Saturday night. Overberg, Eden, Winelands will depart on Friday and sleep over Friday and Saturday night. Please note that the teams from West Coast who arrives on Saturday will have the bye for round 1.

PLEASE NOTE THAT ALL UNDER 13, 15 AND 18 TEAMS MUST SUBMIT A SERIES OF COMPULSORY DOCUMENTS ON 5 SEPTEMBER 2014. (Attached, download from website, print, complete please)

5 Letter on school letter head - list of players, DoB, Gender, Cemis no, ID number,& name of School team manager/rep & ID - signed by principal, school stamp

6 Copies of ID/ birth certificate - signed by principal and with school stamp for all 7 players and school rep

7  ID size photos-- lease provide two Colour photograph, 45mm x 35mm for the Accreditation Pass. The photo should be true likeness, with no hats or sunglasses, taken on a plain, light background and less than six months old.

SUBMIT COPIES OF THESE DOCUMENTS,  KEEP A HARD COPY OF ALL DOCUMENTS AND KEEP AN ELECTRONIC COPY OF ALL DOCUMENTS FOR LATER SUBMISSION IF REQUIRED.

TERMS AND CONDITIONS:

PLEASE ENSURE THAT ALL PLAYERS AND PARENTS ARE AWARE OF THE TERMS AND CONDITIONS AND OF THEIR COMMITMENT.

ALL PLAYERS AND TEAM MANAGERS/COACHES MUST TRAVEL WITH THE DCAS ARRANGED TRANSPORT - NO EXCEPTIONS.

ALL PLAYERS AND TEAM MANAGERS/COACHES MUST STAY WITH THE DCAS ARRANGED ACCOMMODATION - NO EXCEPTIONS.

PLAYERS WHO MIGHT HAVE ADDITIONAL COMMITMENTS MUST CHOOSE OR WITHDRAW BEFORE 5 SEPT, PLAYERS CANNOT BE CHANGED AFTER 5 SEPT. BECAUSE PLAYERS CANNOT BE REPLACED THE TEAM WILL BE WITHDRAWN.

A TEAM CONSISTS OF 6 PLAYERS AND SCHOOL REPRESENTATIVE = A TEACHER FROM THE SCHOOL OR A COACH CONTRACTED BY THE SCHOOL

(ON CURRENT DOCUMENTATION A RESERVE IS NOT INCLUDED FOR 2014 - THIS MAY CHANGE. THEREFOR ALL REQUIRED INFO MUST ALSO BE SUBMITTED FOR THE RESERVE. SO THAT IT IS AVAILABLE IF NEEDED. BUT PLEASE INFORM YOUR RESERVE THAT HE/SHE MAY NOT GO - SO THAT THE PLAYERS AND PARENTS ARE CLEAR ON THIS)

AGE GROUPS TEAM MANAGERS WILL BE APPOINTED BY WESTERN CAPE SCHOOLS CHESS. 3 ADULTS WILL ACCOMANY EACH AGE GROUP - AT LEAST ONE MALE AND AT LEAST ONE FEMALE ADULT
